Most business owners find out how the year went when the year is over. Management accounts tell you in month three.

Management accounts are a separate service from the year-end accounts, added to a package rather than included in one. They are sales, costs and margin by month, put in front of you while the year can still be changed. By month three, there is usually enough information to start seeing meaningful patterns, while there is still plenty of time to act. Month nine still leaves a full quarter in which acting on the numbers can change the year.

The year-end accounts are prepared either way. What management accounts add is seeing how sales, costs and profit are developing during the year, rather than finding out when the year-end accounts are done.

What we find when we take over a set of books

None of these are unusual. All of them were found in real handovers, and all of them cost money for as long as they are left.

  1. Bank accounts not reconciled for several years

    We reconcile back to the statements, month by month, until the balance in the software is the balance at the bank.

  2. A refreshed bank feed that created a second account instead of reconnecting to the first

    We identify the duplicate, move the transactions to the right account and reconnect the feed properly.

  3. Income posted to expense codes, and expenses posted to income

    We recode the transactions and check the nominal ledger, so the profit and loss reports what actually happened.

  4. VAT, PAYE and CIS control accounts never reconciled to HMRC

    We agree each control account back to the HMRC position and correct the difference before it becomes a penalty.

  5. Opening balances carried forward year after year without being checked

    We check them against the last set of filed accounts and correct them at the point they are found, not at year end.

Where complete records reach us promptly, we work to a target of filing within three months of your year end. Not because the deadline needs it, but because a set of accounts nine months old is a history lesson.

    The training I received from Sibo was good. She had obviously prepared well prior to the session and taken a look at my Xero account and questions before hand to provide great context. Her knowledge of the system and book keeping is excellent. I could have done with more time with her as an hour wasn't quite long enough but I will be sure to keep her in mind for future sessions.

The first two weeks

Moving accountant sounds like a fortnight of admin. It is mostly ours.

  1. Days 1-2 We talk through what you need. Proposal issued and agreed through BrightManager.
  2. Days 3-5 Engagement letter and anti-money-laundering checks completed through Xama. Handover information requested from your outgoing accountant where relevant.
  3. Days 6-9 Accounting software and HMRC access arranged. Records collected.
  4. Days 10-14 Initial review. Gaps, discrepancies and setup problems identified and resolved, then into the regular monthly workflow.

What we will not do

Worth saying out loud, because it is cheaper for both of us than finding out in month four.

  • Treat personal expenditure as tax-deductible business expenditure where there is no proper basis for doing so.
  • Take on aggressive or unjustifiable tax treatment.
  • Audit and advisory work, or complex specialist taxation. We say so and point you to somebody who does it.
  • Work that is closer to a personal assistant than to an accountant.
  • Take on a client moving from another accountant before the necessary handover has been completed.

Common questions about working with Tickdoc

How quickly will you reply if I get in touch?

We aim to answer emails within one working day, and we return telephone calls the same day or the next. That is the standard the practice is run to, and it is deliberate: poor communication is a reason people often give us for leaving their previous bookkeeper.

How long does a VAT return take?

For a straightforward return, where the bookkeeping is up to date and all the records are available, we normally complete the review and the return within three to five working days. Returns that need bookkeeping corrections first, or that raise queries we have to put to you, take longer.

My books are years behind. Is that a problem?

No. Catch-up work is a service in its own right and we do it regularly. How long it takes depends on the number of transactions, how far behind the records have fallen, and how many unreconciled items need correcting, so we look at the records first and tell you what the job involves before we start.

Which accounting software do you prefer?

Xero, generally. Its bank reconciliation, its reporting and its accountant collaboration tools are the most effective of the three we work with, and it integrates well with the other systems our clients use. But no single package is right for every business. QuickBooks and FreeAgent can be the better fit depending on the size of the business, the transaction volume and the functionality you actually need, and we will say so if that is the case.

What happens in the first two weeks?

We talk through what you need, then issue and agree a proposal through BrightManager. The engagement letter and anti-money-laundering checks are completed through Xama. We arrange accounting software and HMRC access, collect your records, and where you are moving from another accountant we contact them for the necessary handover information. Then we carry out an initial review, resolve any gaps, discrepancies or setup problems we find, and move you into the regular monthly workflow.

Do you only work with businesses in Hampshire?

No. Most of our clients are in Eastleigh, Southampton, Winchester and across Hampshire, and we work with businesses elsewhere in the UK too. The sectors we work in most are health and social care, construction and trades, manufacturing, medical and professional training, landlords, cleaning, transport and taxi, fitness, and charities. We also work alongside tax advisers and other accountants on their own clients.

Is there anything you will not take on?

Yes, and we would rather say so now than after you have signed. We will not treat personal expenditure as tax-deductible business expenditure where there is no proper basis for doing so. We will not take on aggressive or unjustifiable tax treatment. We do not do audit or advisory work, or complex specialist taxation, and we will point you to somebody who does. We have turned down work that was closer to a personal assistant role than an accounting one. And we cannot take on a client moving from another accountant until the necessary handover has been completed.
